SmartMail FAX Inbound Faxing Services

Our SmartMail FAX service takes the hassle out of faxing. With SmartMail FAX, you can receive your faxes anywhere, just by checking your email! We provide each subscriber with a dedicated fax number – either a local number or a toll free number – which accepts faxes and then converts them into the convenient Adobe PDF format and delivers them by email. Subscribers can also “port” telephone numbers to SmartMail FAX from other carriers so you won’t have to change your fax numbers when you subscribe. A secure portal is also provided to manage and view inbound and outbould faxes for those who prefer not to have them emailed, or when a user has email trouble. Once you receive a fax as an image, it can be stored on disk, printed, forwarded, annotated or just deleted. There’s no limit to the faxes you receive and no per-page, per-fax or per-minute charges! Just a low, flat monthly fee. If we provide your telephone service, SmartMail FAX often comes included with that service.

SmartMail FAX Outbound Faxing Services from your Windows Computer

This service is a free add-on option to our inbound fax service. We provide a software program to load on your Windows computer which enables the sending of faxes through SmartMail FAX right from your screen! When you send a fax, we transmit it immediately and email you a confirmation with an image of your fax attached. This allows for quick, easy and complete record-keeping of exactly what faxes you sent, when and to whom. Our secure portal also shows the details of each fax that you send. Standard usage charges apply for outbound faxes. Usage charges are itemized on your monthly invoice per-user for easy cost accounting.

SmartMail FAX Outbound Faxing from E-Mail

This option is primarily used for automated systems that need to fax out regularly. Your system can send an email to SmartMail FAX with a PDF file attached, and we will fax the PDF file contents to the telephone number specified and then return a confirmation to your email. Our secure portal also shows the details of each fax that you send. Standard usage charges apply for outbound faxes. Usage charges are itemized on your monthly invoice per-user for easy cost accounting.

HIPAA-Compliance and Health Information Exchange (HIE)

SmartMail FAX is fully HIPAA-compliant when used in a healthcare setting.  Our design team will work with your practice’s IT professional to ensure smooth integration and security.  We partner with Health Information Exchange providers to meet the needs of healthcare practices who need a more complete HIE solution than faxing alone.

SmartMail FAX Outbound Scanner Appliance

Our scanner appliance is the perfect replacement for your old fax machine.  It’s fully HIPAA-compliant, and uses your internet connection via Ethernet or Wifi to send outbound faxes via SmartMail FAX.  It even works with wireless hotspots in case your office network or internet connection is down.  Confirmation and a copy of each sent fax can be sent to your email, and outbound faxes are itemized per-user in our secure portal for proper audit logging.  Multiple SmartMail FAX scanners can be deployed at each location as needed to address high-volume outbound faxing needs.
